Visitors Table

  • You should have the following ready for the first visitor:
    • Visitors’ information cards on small clipboards, blank name tags, markers, pens
    • Brochure rack filled with a variety of informational brochures*
    • Your own friendly smile
  • ALL visitors should fill out a blank card and make a ‘stickie’ name tag. Please encourage everyone to write legibly – do not hesitate to ask clarifying questions if you can’t read something.
    • First time visitors should be encouraged to fill out the card completely – this helps create a record for future visits, invitations to Inquirers Luncheons, and Uniter mailings.
    • Returning visitors who have filled out cards on previous visits may simply write their names and the date on a new card. Note: each time returning visitors fill out a card, it indicates their continued interest in our church and makes it possible for us to keep track of them and to keep them on our mailing list for the Uniter.
    • Visitor cards are kept on small clipboards – have several on the table to help speed up the process during busy times.
  • For ALL Visitors, place the cards for the day in the card side of the new visitors box so our Administrator can update information about visitors. Make sure each card is dated.
  • It often gets especially busy at the Visitors Table in the ten minutes before, and after, the service starts. You should plan on having at least two people working at the table during this period. If things get really busy, do not hesitate to ask your team leader to get a third to help you as well.
  • If possible, continue to staff the Visitors Table during the service to accommodate late arrivals, answer questions, and provide directions to the bathroom, etc.
    • Nametag requests, directory updates from members go in the card side of the new visitors box.
  • At the end of the service, try to locate visitors and direct them to the Community Hall for coffee hour. If possible, try to introduce first time visitors to others in the congregation.
  • About 15 or 20 minutes after the service please put the new visitors box and the Membership Book in the white postal box for the ushers to return to the office.
  • Please take your cue from the visitors. Some will be extra friendly and others prefer a quieter approach. If time allows, tell visitors about any upcoming programs that are easy introductions to UUCSS. It’s especially important to mention our periodic Inquirers’ Lunches for visitor.

Most of all—have fun doing this important welcome!

* If additional brochures are needed, check the visitors desk –if not available, please put a note to that effect in the card side of the new visitors box, or note on the Sunday setup supply checklist that is always in the white postal box.
