Sunday Open Up & Close Up Checklist
Sunday morning early service begins 9:15 am, later service 11:15 am
Support Team members should arrive by 8:30 am for the early service and by 10:45 for the later
The furnace is on a timer so you need not adjust the thermostat.
Church lockup is done at 1:30 pm, for all buildings that nobody is using
Remember that our goal is to support the Sunday worship experience in a friendly and organized manner so that people know where to go and what to do.
Before the early service:
Team Setup
- Unlock Sanctuary, Community buildings and leave Admin building locked.
- Get the white Post Office bin with Orders of Service, etc. from the office and take it to the Sanctuary building.
- If needed, Fold and add inserts to the Orders of Service.
- Be prepared to tell parents how to find the RE-Youth class directory on the easel in the Sanctuary building entry way.
- Take Visitors Box from the white bin and place on Visitor' Table.
- Take Visitors desk signs and brochures out of the left hand side of the Visitor's desk.
- Close doors to sanctuary and place signs on doors about silent start to early service.
- Find baskets for offertory collection--in rolling file.
Sanctuary setup for the early service
- Take yellow Oral Announcements folder and key for the Quilt Project cabinet from the white bin.
- Unlock the Quilt Project cabinet, take out the 8 binders and place them on the display tables, return the key to the Visitors box.
- Place the yellow Oral Announcements folder on the pulpit.
- See that there is a hymnal, a program, and a glass of water (WITH ICE) on the pulpit.
- See that cloth on the table in front of the pulpit is clean and straight. (Additional cloths are in the flower stand cabinet.)
- Check to see that matches and candles are ready for the service. (Additional candles should be in the flower stand cabinet.) Light taper candles on the pulpit table. Trim the wax of the main chalice candle so that the flame can be seen by the congregation.
- If necessary setup the tea light holder and put tea lights on the holder. Tea lights can be found in the chalice stand cabinet, or in the closet behind the piano. Replace used up tea lights. Place a taper on the glass plate next to the tea lights for lighting.
- Move the Signer's chair and music stand to the far right of the sanctuary.
- If the choir is scheduled for this service, setup up choir seating in the back of the sanctuary. Remove four chairs from the middle of the 4th and 5th rows from the back. Place a music stand in the middle of the empty space.
- Get ropes from the sound room. Set ropes across the chairs nearest the aisle in the last 5 rows of each section to encourage people to sit closer together. If needed, these ropes can be removed to accommodate people.
- If necessary remove chairs so that there is space for two wheelchairs near the back one each on the inner isle of the left and right seating sections. Place a handicapped reserve sign on the seat next to each of the wheelchair spaces.
- To enhance the quiet aspect of this service, do not put the doors at the back of the Sanctuary on the door stops. Open them to let people in, but then let them immediately close back up.
- Remove the Sunday Service Supplies clipboard from the white bin and check if anything should be ordered for next week's service.
After the early service:
- One person must remain at the Visitor's desk. People should trade off so that everyone can go over and get coffee and snacks. (Blue wallet with collection from early service should be kept in the desk drawer).
- Reset Sanctuary seating for Second service: remove trash and old Orders of Service; straighten chairs; replace hymnals; move personal belongings to the Lost and Found box in the Community hall.
- Make sure that there are only 10 rows of chairs in the middle section.
- See that there is a hymnal, a program, and a fresh glass of water (WITH ICE) on the pulpit.
- Straighten and clean the cloth on the table in front of the pulpit. (Additional cloths are in the flower stand cabinet.)
- Recheck to see that matches and candles are ready for the service. (Additional candles should be in the flower stand cabinet.) Replace used up tea lights. Remove old matches.
- Move the Signer's chair and music stand back to the right of the pulpit.
- If the choir sang at the 1st service, replace the chairs in the middle of the 4th and 5th rows from the back.
- Replace ropes to block off the last 4 rows.
After the later service:
Sanctuary Close up
- Take Quilt Project key from the Visitors box, place the Quilt Project binders back in their cabinet, lock the Quilt Project cabinet, and put the key back in the Visitors box.
- Place the yellow Oral Announcements folder back in the white Post Office bin.
- Remove programs or papers from sanctuary chairs or floor.
- Remove used cups.
- Put the ropes back into the Audio room.
Team Closeup
- Put the Visitor's desk signs and brochures back into the rolling cabinet.
- Take the white bin back over to office. Give the blue collection bag, including envelope with coffee money, to the Collector.
- If a group is using a building check with them to confirm that someone is taking responsibility for locking that building up. If no group is using the buildings, lock up the Sanctuary, the Community Hall and the Admin building at 12:45 pm. The keys for locking these buildings are in the office. This means:
- Turning off lights, including those in the restrooms
- Double check that all doors and windows are shut and locked to the outside
- Arm the Sanctuary security system
Community Building
The two thermostats downstairs should be set to 55 degrees (one at bottom of stairs, the other across the hall from Old Miller room). The third thermostat is upstairs in the community room (old sanctuary area) which is on a timer and no adjustment is needed.
New Sanctuary Building
Be sure slide dimmer switches, both in audio room and in entrance hall nearest choir, click to the "off" position.
Administration Building
The thermostat in the Dolan Lounge should be set to 64 degrees (heat). The thermostat downstairs in the nursery room should be set to 58 degrees (heat).
Make sure A/C window units are off. Ensure copy machine is turned off.
